There are two types of letters which are commonly asked in government exams-

  • Formal letter- Formal letters are written to government officials, news editors, bank manager, government departments etc.

Writing a good letter means conveying the subject matter of the topic in the most constructive manner. This means you need to write good content specifying all the information from the topic. To help you improve your writing skills, we have a few letter writing tips which can prove beneficial for the upcoming exam. Have a look at these:

  1. Always follow the formatThe most important letter writing tips of all is to follow the format. A deviation or change in the topic will lead to deduction in marks. The general format of a letter is given below:
  • Heading of a letter comprises of two parts i.e. address of the writer and the date. Heading can be written on the Left corner of the first page of the letter.
  • Salutation or Greeting is an important part of the letter which can never be omitted.    Always place the salutation at the left hand of the page, at a lower level to the Heading. Moreover, the first and last word of the salutation should start in Capital Letters (of alphabet).
  • Subject: Mention the purpose of the letter in short. Subject should be in upper-case characters and aligned either to the left or to the center.
  • Body:  The body must cover the entirety of the subject that has been given in the question. The length of the body should not exceed than 3 paragraphs.
  • Subscription: A polite form of thanking. It is generally written on the left hand side corner of the lines after the body. It should start with a capital letter and end with a comma.
  • Designation follows the subscription.

2. Do not be overly descriptive, neither too precise

You can write short paragraphs, say made up of five lines. However, the length of your sentence may vary. The aim of writing a letter is to convey something important and that cannot wait. So, write only important details without any fluff.

3. Check the Language

Learn to distinguish between formal and informal writing styles. Discourage using adjectives and adverb. Be direct using nouns and verbs in formal letter writing. You should follow a formal language which is polite in nature. Even in informal letters, you must express the ideas

4. Practice

Practice is the only secret to a good letter, as it makes you perfect at it. So, acquaint yourself with the format and examples and practise as much as you can. You can practice with mock tests and various question banks which are available online.

Note: Essays and letters are formulated on thoughts. Thus, they are indirectly a reflection of an aspirant’s personality, ideas, opinions, analysis and assessment of the situation. The test is of values, attitude, aptitude, clarity of thought and writing ability.
